Configuring Sales Invoices

Administrators, delegates and other customers may want to download an invoice with details of their purchase.

This article describes how to turn on invoicing and how to configure your invoice in three steps:

  1. Turn on Invoicing
  2. Change Invoice Address, Header and Footer
  3. Advanced Edit (Optional)

Step 1 - Turn on Invoicing

Start of by going to the Commerce Settings for your project. (See Commerce Settings for more details).

Find and turn on the switch called Enable Invoice

Invoicing is now enabled and you and your customers will be able to view and download invoices. (See Viewing Invoices for more details).

Set the address that the invoices are 'from'.  This is normally the address of your organisation or your client's organisation.  It needs to match the address of the company that is actually raising the sales invoice.

You may also want to add in a Header and Footer to the invoice to include payment information etc.

Go to the main Settings page by clicking on the cog on the main navigation at the top of the page

Click on Edit to

Scroll down to find the Invoice Address, Invoice Header and Invoice Footer fields.

If they are not there, then email us at and we'll add them in for you.

Edit the text and then click on Save.

Invoices are now ready for you and your customers to view and download. (See Viewing Invoices for more details).

Step 3 - Advanced Edit

Invoices are generated using an HTML template that is highly customisable making it possible for you to get the layout and content exactly as you want it.

Go to the main Settings page by clicking on the cog on the main navigation at the top of the page.

Click on Templates.

You will now be on the Templates screen. (See Templates Overview for more details)

Click on Add New Template.

Select Orders Report from the dropdown and set Name to Invoice.

Click Add.

This will add the template, ready for you to edit.  Click on Edit next to your new template

You can now edit the template.  Use the View Data button to see what merge fields are available and the Preview button to see how the Invoice will look.  The template uses CSS, Html and Handlebars.

When you are finished, click on Close.

The Invoice Template is also used for producing the Invoice reports on the Reporting Dashboard.  If you want further order reports, containing different fields, then add more Orders Report templates and customise as required.
