Setting up a new Project¶
This article describes the process for setting up a new project in Smart. It also gives an indication of timescales.
Info
For existing customers, this set up process can take as little as half a day.
For new customers, the process can take as long as a month to complete.
1. Order Placed¶
As soon as an order is placed, the Smart support team will log a helpdesk ticket to get the project set up.
2. Set Up Form¶
Smart support will send you an email with some questions to be answered. This is normally sent the same day that the order is received but could be delayed if contracts have not been signed.
Note
If this is not your first project then this and the following step may be skipped.
3. Complete Set Up Form¶
The set-up form is normally completed by our customers within a day or two but may take longer depending on your own workloads and priorities.
Tip
Allow up to 3 days for this step.
Warning
This step must be completed by you in order to complete the set up. Delays here will impact on when the project can go live.
4. Set up Project¶
Smart support will then set up the project based on the feedback in the questionnaire or other communications.
This normally takes a day but, depending on the complexity of the project, can take several days.
Once set up, you will be notified by email that the system is ready for testing.
Tip
Allow up to 5 days for this step.
5. Test Project¶
Customers are expected to test the project, taking on different roles and making sure that the system is working as expected.
Testing can take 1 or 2 days but make take longer depending on your workloads and priorities.
Tip
Allow up to 5 days for this step.
Warning
This step must be completed by you in order to complete the set up. Delays here will impact on when the project can go live.
6. Feedback Changes¶
Changes required to the project can then be fed back to the support team or changes may be made by the customer directly.
Once the changes have been made, Steps 5 and 6 are repeated until the system is working as required.
Tip
Allow up to 5 days for this step.
Warning
This step must be completed by you in order to complete the set up. Delays here will impact on when the project can go live.
7. Project is Ready¶
Once all testing and changes have been made, the system is ready.
At this point, the system can be made available for use to your submitters, delegates and other users.
