Submission Type Settings

Each Submission Type can have a number of Settings controlled through the Edit Settings screen.

This article describes the Settings that are available and what they do.

Abstract Book Enabled

Allow an abstract book to be downloaded and a publishing preview to be available for Submitters.

Affiliations Enabled

Allow submission contributors to be affiliated with institutions, universities etc for the specified type of contributor.

Allow Submitters to Add Submissions

Allow submitters to add new submissions to the project.

This setting controls the availability of the Add Submission button on the My Submissions Dashboard.

Allow Submitters to Edit Submissions

Allow submitters to edit their submissions.

This setting controls the availability of the Edit button on the submitter's submissions on the My Submissions Dashboard.

Note

A submission must also be in the correct Status and have a Form configured in order for the submitter to edit their Submission.

Allow Submitter to See Submission Status

Allow submitters to see the status of their submissions. The status is displayed on the My Submissions Dashboard for each submission.

Auto Hide Author Affiliation Panel

Automatically hide the entire authors/contributors panel if they are not allowed to be viewed by the user.

Example

Hide the entire authors panel from reviewers if blind settings are turned on.

If this setting is not enabled then a message is displayed to the user instead:

Example

You are not allowed to see authors for this submission.

Confirm Submitter Add Submission

Prompt submitters to confirm adding a submission when they already have incomplete ones.

This feature is used on the My Submissions Dashboard when a Submitter adds a new Submission.

Display Validated Content From Matching Submissions

Submission fields are normally completed by submitters using a submission Form.

But it is also possible for submitters to copy answers that were given previously in other submissions.

Example

Submitter 1 uploads a company logo to their submission.
Submitter 2 wants to be able to use the same logo for their submission.

This feature is called Validated Content Sharing and can be enabled on any Submission Type.

This feature is useful when wanting to reuse data that has already gone through a reviewing process and does not need to be re-reviewed.

Note

This feature is available for Text and File fields only.

Note

This feature may need to be used with the Additional Submitters Grouping Field in order to grant the correct permissions to submitters wishing to access the shared data.

Configuration

Validated Content Sharing is configured using the Edit Settings screen for a Submission Type.

The required setting will have the name: Display Validated Content From Matching .... where .... is the type of submission being managed.

This setting has the following properties:

Property Description
Status The status used to identify the set of submissions that can share data.
Field A multiple choice field used to identify the set of submissions that can share data with each other.
Label The text to show on any fields that are using shared data.

Status

The Status is used to identify the submissions that can have their data shared with other submissions.

Example

A status of Accepted will mean that any submission in the status of Accepted can have its data shared.

Field

The Field is used to identify which submissions can share data with which other submissions. Any submissions that share the same field value can share data with each other.

Example

A field called CompanyName will mean that submissions with the same value for CompanyName can share data with each other.

The combination of Status and Field controls the sharing.  Any submissions in the specified Status will be able to share data with submissions that have the same field value for the specified Field.

Example

Submission 0001 is Accepted and has CompanyName='Smart'.
Submission 0002 is Draft and has a CompanyName='Smart'.
Submission 0002 can use data from Submission 0001.

Note

Only multiple choice fields are allowed for this Field.

Label

The label is used on any submission field that has a value that is taken from another submission.

Example

Submission 0002 is using the Logo from Submission 0001.  The Logo in Submission 0002 is annotated with the Label and is given a coloured background to indicate that it is using shared data.

Example

Any submissions that have been accepted for one company needs to be able to have its data available for use in other submissions for the same company.

Submissions have a field called CompanyName.

In this example:

  • The Grouping field in the setting is set to CompanyName.
  • The submission status is set to Accepted.
  • The Label is set to Validated

Submitter 1 submitted Submission 0001 which is for Company A and has a status of Accepted.
Submitter 2 submitted Submission 0002 which is for Company B and has a status of Accepted.
Submitter 3 is working on Submission 0003 which is for Company A and is in draft status.
Submitter 4 is working on Submission 0004 which is for Company B and is in draft status.

Submitter 3 is able to use data from Submission 0001 when editing Submission 0003 because Submission 0001 is Accepted and has the same value for CompanyName (Company A).

Submitter 3 is not able to use data from Submission 0002 when editing Submission 0003 because Submission 0002 does not have the same value for CompanyName.

Submitter 4 is able to use data from Submission 0002 when editing Submission 0004 because Submission 0002 is Accepted and has the same value for CompanyName (Company B).

Submitter 4 is not able to use data from Submission 0001 when editing Submission 0004 because Submission 0001 does not have the same value for CompanyName.

Number Affiliations Per Contributor

Specify the minimum and maximum number of allowed affiliations per contributor for the specified type of contributor.

If no maximum is set, then there is no maximum number of affiliations.

Number Contributors Per Submission

The minimum and maximum number of allowed contributors per submissoin for the specified type of contributor.

If no maximum is set, then there is no maximum number of contributors.

Number Lead Presenters Per Submission

The minimum and maximum number of allowed lead presenters per submission for the specified type of contributor.

If no maximum is set, then there is no maximum number of lead presenters.

Note

The project must be configured with Lead Presenters for this setting to be apply.

Number Presenters Per Submission

The minimum and maximum number of allowed presenters per submission for the specified type of contributor.

If no maximum is set, then there is no maximum number of presenters.

Note

The project must be configured with Presenters for this setting to be apply.

Maximum Number Submissions Per Submitter

The maximum number of allowed submissions per submitter.

Note

If this setting is not applied then there is no maximum number per submitter.

Maximum Number Submissions Per Presenter

The maximum number of allowed submissions per presenter.

Note

If this setting is not applied then there is no maximum number per presenter.

Example

If this value is set to 2 then a single person can be a presenter on up to 2 submissions.

Show In Grid

This Submission Type setting can be used to control whether Tiles or a Grid should be used when displaying submissions for the Submission Type on the MySubmissions dashboard.

If enabled, then submissions of this Submission Type will be displayed in a Grid otherwise they will be displayed as Tiles.

Only a single submissions grid is used irrespective of the number of Submission Types with this setting enabled.

If more than one Submission Type has this enabled then all submissions for those Submission Types are displayed in a single grid.
